How to Delete Sessions

If you'd like to delete a session, whether it be an individual session, or one that's part of a Term Group, head to the Calendar and choose which session you'd like to delete.

When the list of options for that session pops up, choosing Delete Session will give you an option of whether you'd like to delete that one session on its own, or whether you'd like to delete all sessions that were created at the same time (in the case where you inserted multiple sessions at once).

If you choose 'Delete all sessions...', Bookaby will consult the database to see which other sessions were created at the same time, and how many of those can still be deleted.

Rules for deleting sessions

  • An individual session that contains bookings cannot be deleted, even if the bookings have been cancelled. If you really need to delete the session you will need to move the bookings to another session, after which you can then delete the empty session. Note that moving a booking will email the customer. If the session doesn't appear to have any bookings, it may be that a customer has a booking for that session in their basket, in which case you must wait for their basket to expire (20 mins) before attempting deletion.

  • If you are deleting a session from a Term Group and the Term Group contains bookings, then you must leave at least one session remaining so that you can continue to view and manage the bookings, even if the bookings have been cancelled.
    If you really need to delete the last remaining session you will need to either first create new sessions within the group, or move the bookings to another term group, after which you can then delete the empty session as well as the group itself as required. Note that moving a booking will email the customer.

Set To Private

If moving bookings is not feasible, it may be best to simply set the Visibility on the session/term-group to Private.

If you wanted to do a little housekeeping, you could then set the date of the session to a time in the past so that you don't see it in the calendar. You can even go a step further and set the session's Label to 'Ignore' so that you know that it's not relevant.
